Executive Personal Assistant to the CEO (Ventura County)

About the Role
We are seeking a highly skilled and adaptable Executive Personal Assistant to serve as the trusted right hand to the CEO of multiple affiliated companies. This position requires exceptional organizational skills, absolute discretion, and the ability to manage both business and personal priorities in a fast-paced environment. You will anticipate needs, handle sensitive matters with professionalism, and ensure the CEO’s business and personal life run seamlessly.
Key Responsibilities
Executive Support
Manage CEO’s complex calendar, prioritizing meetings, deadlines, and personal commitments.
Screen and respond to calls, emails, and correspondence with discretion.
Act as a liaison between the CEO and internal/external stakeholders.
Prepare high-quality presentations, reports, and correspondence.
Attend and document high-level meetings; track and ensure follow-up on action items.
Coordinate travel arrangements, including detailed itineraries and personal preferences.
Manage special business projects across multiple companies.
Personal Assistance
Handle personal errands and household coordination as needed (e.g., appointments, reservations, vendor scheduling).
Maintain confidential personal files and manage sensitive personal matters.
Assist with event planning for both business and private functions.
Coordinate personal travel and family schedules.
Manage gifting, holiday schedules, and other personal initiatives.
Administrative & Operational
Organize and maintain both physical and digital filing systems for business and personal use.
Track expenses, reconcile receipts, and prepare reports for both corporate and personal accounts.
Support CEO in strategic planning and project execution.
Anticipate needs to proactively solve problems before they arise.
Required Qualifications
3+ years’ experience as an Executive Assistant or Executive Personal Assistant to a C-suite leader.
Demonstrated ability to manage competing priorities across multiple business and personal domains.
Strong Microsoft Office skills (Excel, PowerPoint, Outlook).
Excellent written/verbal communication and interpersonal skills.
High emotional intelligence, discretion, and integrity.
Comfortable managing last-minute changes and working outside of standard hours when needed.
Credit score in good standing; a soft credit inquiry or proof of current credit score will be required for company credit card privileges.
Use of personal vehicle for work-related travel with mileage reimbursed at the federal rate.
Valid CA driver’s license, insurance, and reliable transportation.
Preferred Experience
Background supporting an executive or entrepreneur.
Familiarity with creative industries, social services, or multi-entity operations.
Proficiency with tools such as Adobe, Canva, QuickBooks, and project management platforms.
Event planning and vendor management experience.
Compensation & Benefits
$28.00/hour plus benefits
